How much software
for your gym costs
The short answer: from around €20 to over €300 a month, and what changes the figure most is how each software charges: by members, per gym or by quote. Also look at what the price leaves out: the app with your brand, the fees on each payment and migrating your data. Below, the prices each maker publishes, checked on October 7, 2026, with a link to each one.
1. The three ways they charge
- By number of members or clients. You pay according to how many you have: cheap when you start, and it goes up as you grow. That’s how Harbiz and Gymdesk charge.
- Per gym, by size or team. One price per gym that moves to another plan with the number of staff or features. That’s how TIMP charges.
- By quote. There’s no price on the website: you get one after a demo. That’s how Bsport and Glofox work, and partly Mindbody.
2. The published prices
Checked on October 7, 2026. They may change: always check the maker’s page.
- TIMP: from €50 a month (Starter) to €170 (Premium), per gym, with 5% off for six months and 10% off for a year. It warns that the price may vary with extra modules (timp.pro/precios).
- Harbiz: by number of clients and without VAT. From €19 a month for up to 5 clients to €99 for up to 40 on the Basic plan, and from €119 for up to 50 clients to €349 for up to 5,000 on Pro. The app with your brand comes in a separate plan with no published price (Harbiz help center).
- Gymdesk: in US dollars and by active members: from $100 a month for up to 50 members to $240 for up to 250. The app with your brand is $100 a month extra. No setup fee and no minimum term (gymdesk.com/pricing).
- Mindbody: from €99 a month per location; the higher plans, on request (Mindbody).
- Bsport and Glofox: they don’t publish prices; you ask for a quote (Bsport, Glofox).
3. What the price leaves out
- The app with your brand. Many charge it separately: at Gymdesk it’s $100 a month (Gymdesk), and at Harbiz it comes in a plan with no published price (Harbiz). Ask whether it’s included.
- The fee on each payment. If you collect through the software’s payment gateway, it keeps a percentage of each fee. Gymdesk, for example, publishes 2.9% plus $0.30 per card payment (Gymdesk blog). With a hundred members paying €40, that’s about €140 a month.
- Migration and setup. Some don’t charge for signing up but do charge for transferring your data from your previous software. Ask them to put it in writing.
- Text messages, extra modules and support. These are the other costs that come up most in the industry’s own lists (GymMaster).
- VAT. Check whether the price includes it: Harbiz, for example, publishes it without VAT.
4. How to compare without surprises
- Do the math over two years and with the members you expect to have, not today’s.
- Ask for the total price: app with your brand, payment fees, migration, text messages and VAT.
- Ask what happens in the second year, when the launch price ends.
- Make sure you can take your data with you if you ever switch: members, fees and payments, in a file any software can open.
Frequently asked questions
How much does gym management software cost?
From around €20 to over €300 a month, depending on how each one charges: by number of members or clients, per gym and team size, or by quote. In October 2026, TIMP ranged from €50 to €170 a month per gym and Harbiz from €19 to €349 depending on the number of clients, without VAT.
Which costs aren't included in the price?
The most common are the app with your gym's brand, which many charge separately; the fee on each card payment if you use their payment gateway; migrating your data; text messages; and extra modules. Ask about each one before you sign.
Is it better to pay per member or a fixed price?
With few members, paying per member can be cheaper. But the price goes up as you grow, just when things are going well. With a fixed price you know what you'll pay next year. Do the math with the members you expect to have two years from now.
